Outlook Calendar (Microsoft 365) is the enterprise calendar of choice for many practices. Zellbox connects to Google Calendar — the bridge is one Zapier / Power Automate flow.
How it works
- In Zapier → New Zap → trigger: Microsoft Outlook → New Calendar Event → action: Google Calendar → Create Detailed Event.
- Choose the destination Google Calendar you’ll dedicate to Zellbox.
- In Zellbox → Onboarding step 2 → connect the destination Google Calendar.
- Every Outlook event now propagates → Google Calendar → Zellbox WhatsApp reminders (24 h + 2 h).
Power Automate variant: use the “When a new event is created (V3)” Outlook trigger + “Create event (V2)” Google Calendar action. Faster than Zapier for real-time flows.
What Zellbox adds
- WhatsApp reminders — Outlook’s built-in reminders are desktop notifications; they don’t message clients. Zellbox turns each bridged event into an actual message sent to the client’s phone at 24h and 2h before the appointment.
- Signed consent PDFs for services requiring them. A signed PDF is captured the first time a client replies and attached to their record, so intake paperwork stops depending on a front-desk clipboard.
- Two-way replies land in your Zellbox inbox. A “running late” or “need to reschedule” reply is visible to staff right away instead of sitting unread in an Outlook notification no one checks.
Zapier vs Power Automate: which polling speed you need
Zapier’s polling window
Zapier’s Outlook Calendar trigger polls every 1-15 minutes depending on plan tier, which is comfortably fast enough for a 24h reminder — the event just needs to land on Google Calendar sometime before the reminder window opens.
When Power Automate is worth the extra setup
For practices where clients frequently reschedule same-day and the 2h reminder needs to reflect the latest change, Power Automate’s near-real-time “When a new event is created (V3)” trigger closes that gap faster than Zapier’s polling interval.
