Editorial disclosure: I work at Zellbox, so we rank #1 in this listicle. That’s the point of publishing our own — but every other tool is described accurately based on its public pricing + product pages as of July 2026. Dental clinics have specific needs that generic WhatsApp CRMs don’t always cover — 6-month recall cycles, treatment consent forms for restorative work, insurance/mutual pre-authorisations in some markets, and language-specific templates (dental appointment phrasing differs from salon-booking phrasing). This shortlist ranks the 8 tools dental clinics actually evaluate, with honest fit assessments per market.

The 4 dental-clinic-specific requirements

Before ranking, here’s what a dental clinic actually needs from a WhatsApp CRM:

  1. Native WhatsApp Business API (not the free green app) — for outbound scheduled reminders that don’t collapse under the 24-hour customer-service window. Not sure which one your clinic actually needs? Our WhatsApp Business Platform vs WhatsApp Business App comparison walks through the difference before you shortlist CRMs.
  2. Two-way sync with the clinic’s scheduling source — usually Google Calendar for smaller EU/LATAM/APAC clinics, or a dental PMS (Dentally, Curve, Dentrix, Eaglesoft) for larger practices.
  3. Recall workflow — the 6-month “you’re due for your check-up” nudge that most no-show-reduction wins come from. Should be template-based, not manually scheduled.
  4. Signed consent for restorative / cosmetic / surgical work — GDPR (EU), LOPDGDD (Spain), LGPD (Brazil), or state-medical-board requirements need the signed PDF on the patient record with an audit trail.

The ranked list

Pricing: $0 Starter (2 seats, 50 customers) → $29/mo Pro (5 seats) → $99/mo Business (20 seats). WhatsApp conversation cost passes through at Meta’s exact rate.

Fit: 1-25 person dental practices worldwide. Especially strong for EU/LATAM/APAC clinics where WhatsApp is the dominant patient channel.

Why #1 for dental:

  • Native two-way Google Calendar sync — the calendar is the source of truth for every visit.
  • Dental sector playbook with Meta-pre-approved templates for check-up reminders, 6-month recall, treatment plan confirmations, post-treatment follow-up, no-show recovery — in 12 languages.
  • Send-and-sign consent workflow: send the crown / implant / whitening consent PDF via WhatsApp, patient signs on their phone, signed document stored on their record.
  • Flat workspace pricing — a growing dental team doesn’t compound the bill.
  • Free forever Starter tier — evaluate for 3 months without a trial clock.

What it’s not: Not a dental PMS. Zellbox doesn’t handle clinical records, treatment plans, or insurance/mutual billing. Runs alongside your PMS (Dentally, Curve, Software of Excellence, etc.) via Google Calendar as the sync layer.

Try it: start free — no card.

2. Weave — US market leader, SMS-first not WhatsApp

Pricing: $199/mo Pro tier and up. No free plan.

Fit: US dental practices (also veterinary, medical, optometry). Deep US-market integration with dental PMS (Dentrix, Eaglesoft, Open Dental, Curve).

Where it works: Excellent in the US market — bulk texting, two-way SMS, appointment reminders, ASAP-list / waitlist for cancellations, integrated phones. If you’re a US dental practice on SMS + phone calls, Weave is a serious option.

Where it doesn’t: No WhatsApp Business API integration. In markets where WhatsApp is the dominant channel (EU, LATAM, APAC, Middle East), Weave’s SMS-first shape is a hard mismatch. Also US-focused pricing ($199/mo minimum) can be steep for a solo dentist outside the US.

If you’re a US dental practice: consider Weave alongside Zellbox depending on your channel mix.

3. Wati — WhatsApp-native, generic (not dental-specific)

Pricing: $29/mo Growth (3 users) → $99/mo Pro (5 users, extra users $24) → $249/mo Business.

Fit: Dental clinics comfortable configuring generic tools. Strong in India + Southeast Asia + LATAM dental markets.

Where it works: Meta-approved WhatsApp templates, broadcast campaigns for special promotions, no-code chatbot for appointment enquiries. Solid if you already own the appointment logic elsewhere and just need a compliant WhatsApp channel.

Where it doesn’t: No native calendar integration, no dental-vertical templates, no signed consent. Every dental-specific workflow (recall, treatment consent) needs to be built manually on top of their generic template system.

Full breakdown: Wati vs Zellbox.

4. Callbell — multi-channel inbox, sales-team shape

Pricing: ~$15-20/user/month + WhatsApp module ($54/mo) + Instagram module ($22/mo) + chatbot module ($22/mo).

Fit: Dental practices that also run active Instagram DMs for cosmetic-treatment lead capture. Italian/Spanish/Portuguese SMB dental market.

Where it works: Multi-channel inbox — WhatsApp + Instagram + Facebook Messenger + Telegram unified. Fine for dental practices where cosmetic lead-gen via IG is real.

Where it doesn’t: Per-user × per-module pricing compounds against a dental team of 5-8 people. No native calendar sync, no signed consent, no dental sector playbook.

5. Dentally / Curve Dental / Pabau / Software of Excellence — dental PMS with messaging modules

Pricing: Varies. Dentally starts at ~£69/mo per user (UK). Curve Dental cloud PMS is subscription per practice (contact sales). Pabau starts at ~£49/mo.

Fit: Practices that want ONE tool for clinical records + billing + messaging. Well-established in their home markets (Dentally UK, Curve US, Pabau UK/EU).

Where they work: Deep clinical integration — treatment plans linked to messaging, PMS-native reminders, invoicing tied to appointments.

Where they don’t: Their messaging modules are SMS + email-first; WhatsApp support is added-on or missing entirely. If WhatsApp is your primary channel, running Zellbox alongside the PMS (calendar sync between them) is often the better shape than switching PMS.

6. SolutionReach / RevenueWell / Podium — US patient engagement platforms

Pricing: SolutionReach ~$379/mo starting. RevenueWell contract-based. Podium ~$399/mo starting.

Fit: US dental practices with big patient volumes. Strong review-generation + payment-collection flows on top of messaging.

Where they work: Best-in-class review generation (Google reviews) and integrated payments for US dental practices.

Where they don’t: US-only pricing, US-only feature focus, no WhatsApp Business API. Outside the US, these are the wrong shape.

7. Respond.io — enterprise-scale AI inbox with reservations

Pricing: $79-$279+/mo, per-Monthly-Active-Contact + per-additional-user.

Fit: Multi-location dental groups (50+ chairs across sites) with enterprise support desks and high-volume patient messaging.

Where it works: AI Agents for appointment enquiries at scale, multi-channel (WhatsApp + IG + email + VoIP), 99.999% uptime SLA. Good for DSO-scale operations.

Where it doesn’t: For a single-site dental practice with 1-4 chairs, the AI Agent + per-MAC pricing is over-engineered and over-priced. Also no native Google Calendar bidirectional sync (AI Agent handles scheduling inside the platform).

Full breakdown: Respond.io vs Zellbox.

8. Dentrix / Eaglesoft / Open Dental — on-prem dental PMS with basic reminders

Pricing: License-based, varies by market. Dentrix ~$100-150/mo per practice (US), Eaglesoft similar.

Fit: Established US dental practices already on these PMS platforms.

Where they work: Deep clinical + billing integration, decades of dental-specific features (perio charting, imaging integration, insurance claims).

Where they don’t: On-prem architecture means no native WhatsApp integration. Add-on modules or third-party integrations required. Not designed to run alongside a modern cloud CRM.

What to test in the first week

Every tool above will happily onboard you. What actually matters after week 1:

  1. Book a real patient into Google Calendar (or your PMS) for a week from today. Did the tool auto-fire a reminder? Or did you have to schedule the send yourself?
  2. Send a treatment consent PDF via WhatsApp. Did the patient sign on their phone? Is the signed file on their record?
  3. Set up a 6-month recall for a patient who came in today. Will the tool fire the recall message in 6 months without you touching it?
  4. Cancel a Google Calendar event. Did the queued reminder auto-cancel? Or does the patient get a stale reminder for a cancelled slot?

Every one of those four is a candidate for silent failure. Test them before signing anything longer than month-to-month.

Before switching CRMs, it’s worth checking whether your clinic is GDPR-audit-ready — our 2026 GDPR checklist for private clinics covers the 5 areas auditors open first.

Frequently asked questions

Why do dental clinics need a WhatsApp CRM specifically?
Because 60-85% of patient messaging in most non-US markets happens on WhatsApp — SMS is dead in the EU, LATAM, APAC, and much of the Middle East. A dental clinic without WhatsApp reminders has 15-30% higher no-shows than one that automates them properly. Meta-approved WhatsApp templates for utility messages (reminders, confirmations, recall) don't count against the 24-hour customer-service window, so they scale.
Are US dental communications tools like Weave a good fit outside the US?
No. Weave, SolutionReach, RevenueWell, and similar US-market leaders are excellent for their home market but treat SMS + email as the primary channel and don't ship WhatsApp Business API integration. In markets where WhatsApp is the dominant channel, a $199-500/month tool that can't send WhatsApp reminders is not a fit — regardless of how strong its dental-vertical features are.
Should we get a dental PMS (Dentally, Curve, Dentrix, Eaglesoft) or a WhatsApp CRM (Zellbox, Wati, Callbell)?
Both — they solve different jobs. The PMS handles clinical records, treatment plans, insurance codes, and billing. The WhatsApp CRM handles patient communication, appointment reminders, recall workflows, and signed consent. A good WhatsApp CRM runs alongside your PMS via calendar sync — you keep the PMS for clinical work, the WhatsApp CRM for the patient touchpoints.
What's the cheapest option for a solo dentist with 1 assistant?
Zellbox Starter — free forever, 2 seats, 50 customers, 100 WhatsApp messages/month. Enough to run a solo practice's appointment reminders for the first year. When you hit 50 customers, Pro is $29/month flat for 5 seats. Every other tool on this list starts at $29-199/month before add-ons.
